Your First Visit
At your first visit, after completion of your medical/dental history and insurance form, our doctors will perform a clinical examination to determine what type of orthodontic treatment is needed. The doctor may also prescribe a series of diagnostic records, including orthodontic X-rays, digital photographs, and study models.
All this information will be used to develop a customized treatment plan for you, and will serve as a baseline to track the progress of treatment as the teeth move under orthodontic care.

Case Presentation
After the orthodontist has evaluated your diagnostic records, we discuss your treatment plan, the length of time involved, and specific financial arrangements. If you would prefer, this appointment can be done over the phone. At this point, we will prepare a pre-approval form you may submit to your insurance company.
Regular Appointments
The appointment when you get your braces and/or appliances usually lasts from one to two hours. You will see us at regular intervals of eight to ten weeks thereafter for an adjustment that takes 20 to 40 minutes. Patients are seen by appointment only.
We make every effort to be on time for our patients, and ask that you extend the same courtesy to us. If you cannot keep an appointment, please provide our office with at least 24 hours’ notice. Cancel only if it is an emergency. It is difficult to reschedule, since most appointments are made eight to ten weeks in advance.
Many of your office visits will inevitably conflict with school or work. To minimize your missed time, our office has designed the following system:
- Longer appointments, such as getting braces on or off, will be scheduled during school/work hours.
- Shorter, “adjustment” appointments can be scheduled before and after school/work when available.
- In fairness to our scheduled patients, if you arrive late, then you will need to be rescheduled unless there is an unexpected opening at that time. You will be rescheduled during school/work hours.
- Missed appointments will need to be rescheduled during school/work hours or as our schedule permits.
Payment Policies
Cost
The cost of treatment depends on the severity of the patient’s problem. You will be able to discuss payment options before treatment begins. We offer flexible payment plans and will be happy to review your options with you in person.
The fee covers the cost of your braces/appliances for active treatment and for one year while you are wearing your retainers. Additional charges will be made for lost or broken appliances and broken braces due to negligence. The fees do not include any general dentistry, X-rays, or extractions needed during and related to orthodontic treatment performed outside this office.
Fees
In an effort to keep orthodontic fees down while maintaining high-quality, professional care, we have established these financial policies:
- For your convenience, we accept payment by cash, cheque, debit cards, Visa® and MasterCard®.
- To fit your individual needs, financial arrangements can be made to extend your payments over the length of treatment.
- All monthly installments will be pre-arranged by Visa, MasterCard, or post-dated cheque.
- In cases of serious delinquency, treatment will be discontinued, although we will make every effort to accommodate patients who experience temporary difficulties.
Tax Relief
Specialty orthodontic fees are qualified medical expenses that may be claimed for income tax purposes. Your total medical expenses in excess of the lesser of $2352.00 (2019) or 3% of your net income may be claimed for any 12-month period ending in the tax year, as long as they were not claimed the previous tax year.
Please contact your tax advisor for additional information with regards to your individual situation to find out the details of the tax credit that will apply to you.
Insurance
We do not accept direct payment from insurance companies, but we will make it as convenient as possible for you by completing any necessary insurance forms so you will be reimbursed directly from the insurance company. Dental plans vary, but most cover at least a portion of orthodontic fees.
The insurance company is responsible to the patient and the patient is responsible to the doctor. We will provide you with all necessary paperwork to pre-authorize and claim your orthodontic treatment with the insurance company.
Office Policies for Selkirk Orthodontics
The goal of providing orthodontic treatment at a satellite office in Selkirk, MB is to make treatment more convenient for our patients who live north of Winnipeg. One of the most common concerns that our out-of-town patients express is the amount of time missed from work or school due to travel to Winnipeg for orthodontic treatment.
Selkirk Orthodontics will be a satellite office where the team from Kildonan Orthodontics will perform the majority of a patient’s short-appointment orthodontic services. In order to accommodate the largest number of our patients in this satellite clinic setting, the following office policies will apply to Selkirk Orthodontics.
Please Show Up Early for your Appointment
If you are late for your appointment, it will have to be re-scheduled. Only short appointments are scheduled in Selkirk in order to make treatment as efficient as possible for the greatest number of patients. If you are late, then the next patient will already be waiting for his or her appointment.
We try our best to run on time, and if you are late, then it is unfair for the remaining patients to have to wait. In addition, it does not leave us enough time to provide you with the proper treatment.
Dates of Service
Dr. Nickolaychuk and the Kildonan Orthodontics team will be traveling to Selkirk two Thursdays of every month. In the event that this does not work with your schedule, then you are welcome to schedule an appointment at Kildonan Orthodontics in Winnipeg, on a day that is more convenient to you.
Types of Treatment Provided
In an effort to make orthodontic services more convenient and accessible for our patients, we perform consultations, recalls, adjustment appointments, delivery of braces, and retainer checks in Selkirk. These adjustment appointments comprise the majority of orthodontic care; hence, most treatment can be performed in Selkirk.
Diagnostic records, and removal of braces will be performed at Kildonan Orthodontics in Winnipeg. If a patient requires a significant amount of treatment (for example, more than three broken braces), then he or she will need to be re-scheduled for treatment at the Winnipeg office.
Finances
All patient contracts will be set up when the appliances or braces are delivered. All payment types are accepted at the Selkirk location. Any cheques should be made payable to Kildonan Orthodontics.
